Administrative Assistant / Bookkeeper

MarAlliance is an international non-profit working in multiple countries and locally registered in Belize that explores, enables, inspires conservation action for threatened marine wildlife and their critical habitats with dependent communities. We seek an energetic, part-time Administrative Assistant/Bookkeeper based in Belize City, with a proven track record and at least 3 years experience of working successfully in bookkeeping and administrative roles to support MarAlliance in achieving its operational and strategic goals and an expanding country program. The candidate will be detail-oriented, highly organized self-starter with a strong work ethic and discretion, who possesses good people and communication skills (verbal and written) with fluency in English and Spanish. The ability to work to tight deadlines, both independently and as part of a team, is crucial. This post is open to a Belizean National or Resident only.

Main Responsibilities:

  • Undertake financial data entry, follow up, and relay of project expenses, monitoring of bank transfers, banking activities, and expenditures in Belize in coordination with the Belize National Coordinator (NC) and the Financial Controller (FC).
  • Work with the FC and accountant to generate timely financial and grant reports and ensure compliance with grant/funding guidelines
  • Reception service and routine office administration, including communications, maintaining the schedules and reminders of activities/meetings/events, as well as programmatic and logistical support to other members of staff and both local and international contractors
  • Support in drafting or revising correspondence in both English and Spanish, reports, and other deliverables including permits applications
  • Assistance in the preparation and implementation of events, presentations and meetings including printing and compilation of documents and other materials needed
  • Monitoring of equipment/supplies inventory levels, maintenance of a supplier database, and recommendation when re-orders are necessary
  • Due diligence and assistance in ordering, receiving, stocking, distribution of supplies and scientific samples
  • Oversight and maintenance of the organization’s equipment
  • Preparation of all permitting documents for the NC.
  • Data entry
  • Any other related duties as assigned to support MarAlliance operations.

Qualification requirements:

A Bachelor’s degree in Business Administration or Accounting is preferable with 3 years of work experience in both finance and administration (an Associate’s Degree with 3 years of relevant experience will be preferred). Previous experience managing a small office/small operation and organizing events would be an asset. Must be proficient in the use of major software packages (Word, Excel, Powerpoint, Access) and possess knowledge of QuickBooks Accounting software. The position is supervised by the Belize NC, based in Belize City, Belize, and pay and benefits will be commensurate with experience and qualifications. Professional training and growth are possible in this position, and the post will require occasional travel and attendance of events within Belize.
